1. General Principles

At Digital Elixir Ltd, we deliver custom, high-touch professional advisory, digital engineering, and search optimization services. Because our work involves custom code authoring, expert technical labor, and bespoke architectural planning, our refund policies reflect the non-recoverable allocation of senior engineering time and proprietary work product.

We believe in complete commercial transparency before any contract is signed or deposit is paid.


2. Strategic Audits & One-Time Discovery Consultations

  • Nature of Work: Technical SEO audits, architecture blueprints, competitor teardowns, and strategic roadmaps are standalone intellectual deliverables.
  • Refund Terms: Once an audit or discovery report has been initiated or delivered to the client, the associated professional fee is strictly non-refundable, as the strategic insight and data analysis have been fully generated and transferred.
  • Pre-Execution Cancellation: If a client cancels a scheduled discovery audit in writing at least forty-eight (48) hours prior to the commencement of research, a full refund will be issued, less applicable payment gateway transaction processing fees (typically 1.5%–3.5%).

3. Project-Based Web Design & Development Builds

Custom website design, Astro web engineering, and e-commerce development projects operate on a milestone-based payment schedule governed by an executed Scope of Work (SOW):

  1. Initial Project Deposit (typically 50%): The initial deposit secures dedicated engineering resources and funds technical discovery, wireframing, and architecture planning. Once initial discovery workshops or design wireframes have commenced, the initial deposit is non-refundable.
  2. Interim Milestone Payments: Payments tied to specific milestones (e.g., prototype approval, database integration, staging environment deployment) become due only after the client inspects and approves the specified milestone deliverables. Once approved and paid, milestone payments are non-refundable.
  3. Termination Prior to Completion: If a client elects to terminate a project build before completion for convenience, the client shall be billed for all documented engineering hours completed up to the date of written notice. Any unearned balance of pre-paid milestone funds will be returned within thirty (30) business days. All partial designs, code repositories, and documentation produced up to that date will be handed over to the client.

4. Monthly Retainers (SEO, Paid Media & Maintenance)

  • Advance Billing: Ongoing search engine optimization, Google Ads campaign management, and website maintenance retainers are invoiced and paid in advance on a monthly recurring basis.
  • Cancellation Notice: Retainer engagements may be cancelled by either party at any time by providing thirty (30) calendar days’ written notice to .
  • Elapsed Periods: Monthly retainer fees are non-refundable for elapsed billing cycles or months during which strategic execution, technical monitoring, content writing, or ad management has already taken place.
  • No Long-Term Lock-Ins: We do not lock clients into multi-year punitive contracts. You retain complete freedom to terminate ongoing monthly retainers with standard 30-day notice.

5. Third-Party Costs & Platform Ad Spend

  • Direct Advertising Budgets: Ad spend paid to third-party ad networks (Google Ads, YouTube Ads, Meta Ads) is paid directly by the client or passed through at net cost. These funds are consumed directly by ad auctions and are strictly non-refundable by Digital Elixir under any circumstances.
  • Domain Registrations & Software Licenses: Fees paid to domain registrars, SSL certificate providers, third-party software subscriptions (e.g., CMS plugins, API access keys, hosting infrastructure) are non-refundable once registered or provisioned in the client’s name.

6. Dispute Resolution & Refund Request Process

If you believe an invoice was processed in error or that deliverables failed to meet agreed technical specifications set out in your Scope of Work, please follow our formal review process:

  1. Submit a written explanation of the discrepancy to within fourteen (14) days of invoice issuance.
  2. Our executive team will review your account records, project commit logs, and milestone approvals, scheduling an executive review call within five (5) business days.
  3. If an error or service shortfall is verified, Digital Elixir will, at its discretion, either provide immediate remedial engineering work at no additional charge or issue an appropriate credit or refund to the original payment method.
